How to setup and track the standard client Billing Code Feature on Sharp MFPs

You will need the IP address of your Sharp MFP so you can log on to the web interface to setup billing and obtain the counts.  


SETUP

1a.  On the web page:  Billing Code Setting > Add (enter the name for the Main Code).  This can be a client's name, company name, department, job #, etc).

1b.  If a Sub code is needed, click Sub Code List > Add (enter the name for the Sub Code).  This can be helpful if you are using a company name and need to narrow it down by entering a department name, etc.

2.  Click Administration Settings > Use Billing Code (Enable) and click Submit


COPIES

After pressing the Copy button, you will see the screen below.  Enter the Main Code (can select it from the list on the right side).  Enter the Sub Code (if used) and touch OK.  If no code needs to be used, simply press No Use of Billing Code.





PRINTING

1.  At the PC - Go to the Control Panel > Devices & Printers > Right-click the printer > select Printer Properties > Configuration > Printing Policy > check the Billing Code box and click OK (see image below).




2.  When a print job is sent to the printer, a pop-up window will appear (see image below).  Enter the Main and Sub Code (if any).  Check the Always Use This Billing Code box if you intend to print and bill the same codes repeatedly and click OK.






REPORTING

Log in to the web page of the MFP and lick the Job Log link (type the password - usually: admin) > Click the Save Log button.  This will download the log as a spreadsheet similar to the image below.  To determine the prints and copies to be billed look at the Main code, Sub Code, Job Mode and Black & White (Full color if applicable) columns and add the amounts to determine the cost to bill.  You may want to delete the Job Log (from the web interface) when finished to start the next billing cycle.  Click here for a short example (beginning at the 1 minute mark) video of how to easily use Excel to determine the amounts to bill.
